Set up your Scan2Q account

Scan2Q is a browser-based app. Business owners and staff sign in from a phone, tablet, or computer - customers never need to create an account or install anything.

  1. Go to scan2q.com/register and create your business account. New accounts start with a 14-day free trial.
  2. Sign in and open your dashboard. If you have no locations yet, the Add Location form opens automatically.
  3. Name the location, choose a queue type, and save. See Locations for what each queue type means.
  4. Open the new location's QR Code, then print or display it where customers will scan it.
  5. Test the flow yourself: scan the code with your phone, join as a test customer, then switch to the staff view and call yourself through the queue.
  6. Optional: add staff logins so your team can run the queue without sharing your owner credentials. See Staff Management.
Forgot your password? Use "Forgot password" on the sign-in screen, or change it from the profile menu once signed in.

Create and manage locations

A location represents a branch, counter, clinic, or any single place where customers wait. Queue activity, QR codes, and staff accounts are all grouped by location, and a business can run more than one at a time.

  1. From the dashboard, choose Add Location.
  2. Enter a clear location name your customers will recognize.
  3. Choose the queue type that matches how you serve people (see below).
  4. Save, then open the location's QR code to print or display it.

Queue types

Table

Customers entering the queue can specify a party size.

Counter

For counter or service-desk style queues.

Bay

For numbered service bays.

Room

For numbered rooms, such as clinics.

There is no separate screen for changing a queue type after creation, so choose carefully at setup. Deleting a location also removes its staff accounts and queue history, so only confirm deletion when you're sure. Your plan sets how many locations you can run - see Billing & Subscription if Add Location is disabled.

QR code refresh: refreshing a location's QR code invalidates the previous one. Replace any printed copies immediately after refreshing.

How customers join and wait

  1. Scan the location's QR code with a phone camera. No app download or account is required.
  2. Enter a name. At a Table location, also enter the party size.
  3. If WhatsApp notifications are enabled for that location, opt in and enter a phone number.
  4. Select Join Queue to receive a queue number.
  5. Keep the waiting page open. It shows your queue number, the number currently being served, and your estimated wait time.
  6. The browser may ask permission to show a notification - allow it so you get an alert and sound when you're called, even if you switch apps.
  7. When called, the page shows Your Turn with the assigned counter, bay, room, or table.
  8. After service, the customer sees a confirmation page and the ticket is complete.
Already in the queue? If the same device scans the same location's code again, Scan2Q offers Continue with Queue or Leave Queue & Start Over instead of creating a duplicate entry.

04 · Queue Management

Run the queue from Staff Dashboard

Staff sign in with credentials tied to a single location and manage that location's queue in real time. Every customer moves through the same states: waiting, called, serving, and finally completed or cancelled.

  1. Review the top summary: customers waiting, average wait time, and completed today.
  2. Use Call Next to bring the next waiting customer forward.
  3. Assign a counter, bay, room, or table number and send the alert - this is what triggers the customer's "Your Turn" screen and notification.
  4. Choose Complete Service once you've finished serving that customer.
  5. If a customer won't be served (didn't show up, left, etc.), choose Cancel on their entry instead of completing it.
  6. Periodically review the completed list and use Clear Completed to clear finished entries from the view.
Staff are assigned to one location only. From Staff Dashboard they can also open and print that location's QR code.

05 · Dashboard

Read your business dashboard

The dashboard is where a business owner manages every location from one place. Switch between locations using the location list, and each one shows live stats: customers waiting, average wait time, and customers completed.

  • QR Code: view, refresh, or print that location's code.
  • Locations & Staff: search your locations and manage the staff accounts attached to each one.
  • Analytics: open historical performance data when your plan includes it.
  • Account information: see your plan, trial status, and WhatsApp usage details when the add-on is enabled.
  • Support chat: an in-dashboard chat widget for reaching the Scan2Q team.

Use Analytics to plan staffing

Open Analytics from the dashboard and choose a preset or custom date range to review how a location has been performing.

Summary metrics

Includes Average Wait Time along with totals for entries served, cancellation rate, completion rate, and peak queue length.

Charts

Queue Trends shows day-by-day activity. Peak Hours highlights the busiest times of day so you can staff accordingly.

Analytics may not be included on every plan. If you see an upgrade prompt instead of your data, check Billing & Subscription.

Browser and WhatsApp notifications

Customers keep the waiting page open while Scan2Q checks their status in the background. If they allow it, the browser shows a notification and plays a sound the moment they're called, even if the tab isn't in focus.

WhatsApp is an optional paid add-on. When it's active for a location, enable WhatsApp Notifications on that location's card in the dashboard. Customers who opt in and enter their number when joining can then receive a WhatsApp message when they're called or assigned a service point.

Billing shows included WhatsApp usage, any overage usage, and an optional setting to automatically disable WhatsApp once your quota is reached.

Give staff access safely

  1. On a location's card in the dashboard, choose Add Staff.
  2. Set a staff ID and initial password, then share them with your team member securely.
  3. The staff member signs in at the normal Scan2Q login and lands directly on their assigned location's Staff Dashboard.
  4. From the location's staff list, you can lock or unlock an account, reset its password, or delete it at any time.
Staff access is scoped to one location. Staff accounts cannot open the business dashboard, billing, analytics, or any other location.

Manage your plan and invoices

Open Billing from the profile menu. It shows your current plan, a WhatsApp usage tab when the add-on is active, and your billing history.

Basic

Professional

Up to 3 locations.

Enterprise

Unlimited locations, custom pricing.

  • Activate or change your Scan2Q plan at any time.
  • Add, change, or remove the optional WhatsApp add-on when eligible.
  • Review usage and download invoices from Billing History.
  • Cancel your subscription through the Stripe billing portal. Stripe shows the cancellation timing during the confirmation step.
Payments and subscription changes run through Stripe's secure billing flow. After checkout, allow Scan2Q a moment to refresh your account before the new plan appears.

Cancel your subscription

You can cancel your Scan2Q subscription from the Stripe Billing Portal:

  1. Open Billing & Usage from the profile menu in the Scan2Q Dashboard.
  2. Under the Scan2Q Plan, select Manage Plan.
  3. Select Billing Portal.
  4. In the Stripe Billing Portal, select Cancel subscription.
  5. Follow the confirmation steps shown by Stripe. Review the cancellation date displayed there before confirming.
After you confirm: Stripe sends Scan2Q the subscription status update, and Scan2Q updates your account when the subscription is cancelled. Your access remains governed by the cancellation date shown in Stripe's confirmation; the Scan2Q code does not override that date.

Common issues and fixes

The QR code says it's outdated.

Refreshing a QR code invalidates the previous one. Open that location's QR Code panel in the dashboard, refresh it, and replace every printed copy.

A customer's camera won't scan the QR code.

Make sure the printed code is clean, well-lit, and not damaged, and that the customer's camera app supports QR codes (most modern phone cameras do natively). Confirm the customer has an internet connection. If the code still won't scan, refresh and reprint it from the dashboard.

A customer's waiting page stopped updating.

Check the phone's connection and refresh the page. If the session has expired, scan the location's QR code again to rejoin.

A customer is already in the queue.

Scanning the same location's code again offers Continue with Queue to return to their existing ticket, or Leave Queue & Start Over to begin fresh.

I can't add another location.

Your plan may have reached its location limit. Check Billing & Subscription to upgrade.

WhatsApp notifications aren't available.

Subscribe to the WhatsApp add-on in Billing, then enable it for the specific location. Also check that you haven't hit your WhatsApp usage quota.

A staff account is locked or the password doesn't work.

The business owner can unlock the account or reset its password from that location's staff list in the dashboard.

Frequently asked questions

No. Customers scan a QR code with their phone's camera and use the queue page in their browser. No app, download, or account is required.

Just a phone, tablet, or computer with a browser and an internet connection for your staff, plus a printed or displayed QR code for customers to scan.

Yes. New accounts start with a 14-day free trial. Payment details are required to start the trial, but you are not charged during the 14-day trial period.

Yes. The number of locations you can add depends on your plan: Basic supports 1 location, Professional supports up to 3, and Enterprise is unlimited.

Their place in the queue isn't lost. Scanning the same location's QR code again lets them continue with their existing ticket, or leave and start over.

No, it's an optional paid add-on. Every customer already gets a live-updating waiting page and, if allowed, a browser notification when they're called.

No. Staff accounts are scoped to a single location and can't reach billing, analytics, or any other location's dashboard.
